Streamlining the ordering process for a smoother experience.

The Challenge

ASAMS needed to take the mess of day-to-day work for industrial clients and turn it into a single ordering and job-management process. Quotes, jobs, materials, invoices and contacts were the real business. They could not live in inboxes and side conversations.

When you are making things to spec, a job is not just a row in a spreadsheet. It has a client, a reference, a description, dates and a trail of quotes and invoices. Missing any of that is how work gets lost and how scope quietly changes.

The team needed a system that could hold a client record, the people attached to it, pricing and notes, then open into the live jobs for that client. Searching a long client list and seeing what is in progress versus complete had to be fast.

They also needed a partner who would take time to understand the current systems before proposing software. Thomas Whiskin’s later feedback was about scope, communication and predicting issues. That only happens if the challenge is treated as an operations problem, not a website brief.

Our Solution

We worked with ASAMS to map their current systems and agree a proper scope of work, then built a platform around clients, contacts, jobs, quotes and invoices. The left of the product is the client list. The right is the live record.

From a client you can move between details, contacts, pricing and notes, then into jobs, materials, quotes and invoices. Filters for open and closed work keep the queue honest. Adding a job is part of the same screen, not a separate tool.

The interface is designed for people who are already busy. Search, status and references do the heavy lifting so a job such as a fabricated part can be found again, billed correctly and closed without reconstructing the story from email.

We stayed close as the scope moved, suggested improvements to design and functionality, and tried to see problems before they arrived. That is how the ordering process became a smoother experience rather than another system to work around.

Liam and the Always49 team have taken the time to fully understand our current systems and project, they worked with us to develop a comprehensive scope of work. They kept us regularly updated with progress and suggested ideas to improve on the current system, with design and functionality suggestions.
